This role focuses on delivering essential Litigation docket and case management assistance to the firm’s attorneys and administrative staff.
Key Responsibilities of the Litigation Docket Clerk
- Manages and addresses emails received in the Docket mailbox, ensuring all requests are fulfilled accurately within a 24-hour timeframe.
- Updates and maintains the docket software database, sets due dates, and makes necessary docket entries.
- Ensures relevant documents tied to cases or events are properly attached in the docket software and associated with the Document Management System.
- Responds promptly and efficiently to inquiries from attorneys, paralegals, and administrative staff regarding case statuses through direct communication with courts and agencies.
- Conducts in-person visits to local courts and agencies for filing, case status research, document retrieval, and payment of related fees. Provides status updates to attorneys afterward.
- Engages in electronic filing and utilizes online platforms for research, including the PACER system and File & Serve.
- Addresses Audit Letter inquiries and supplies formal reports concerning all ongoing litigation as requested.
- Acquires and submits receipts to the Director of Business Intake related to case expenses.
- Identifies opportunities for improvements in docket policies, procedures, and forms to enhance service quality for timekeepers.
- Provides backup assistance to the Docket Manager as needed.
Qualifications for the Litigation Docket Clerk
- High school diploma or equivalent is required.
- An associate’s degree or higher, along with a Paralegal Certificate, is preferred.
- A background of three to five years in a law firm setting, focusing on docket or comparable responsibilities is needed.
- Proficient knowledge and skills:
- Familiarity with computer systems: Windows, Internet, typing, and data entry. Experience with Milana, Aderant eDockets, CompuLaw, or similar docket management software is an advantage. Knowledge of NetDocuments or equivalent Document Management software is also preferred.
- A strong understanding of the litigation process is essential.
- Exceptional customer service abilities and telephone etiquette are required.
- Capacity to build productive working relationships and collaborate with various firm departments, attorneys, staff, and court personnel.
- General knowledge of the Rules of Civil Procedure for State, Federal, and Municipal Courts is expected.
- Maintaining confidentiality at all times is crucial.
