Litigation Legal Assistant

Position Overview:
The Litigation Legal Assistant will deliver exceptional litigation and administrative support to attorneys, paralegals, and legal teams across various practice areas. The ideal candidate is an organized, detail-focused legal expert with significant experience in litigation support and advanced abilities in document formatting.
Key Responsibilities:
- Deliver thorough administrative and litigation support to legal professionals.
- Draft, revise, proofread, and format intricate legal documents, correspondence, pleadings, and other relevant materials.
- Utilize advanced Microsoft Word functions for document formatting, including the customization of styles, numbering formats, templates, and other complex tasks.
- Create and maintain tables of contents and tables of authorities.
- Perform document comparisons and reconciliations.
- Log attorney billable hours and prepare expense reports.
- Handle onboarding requests for new cases and ensure accurate case records.
- Organize travel itineraries and schedules for attorneys.
- Support preparations for trials, depositions, arbitrations, and hearings.
- Conduct data entry and manage electronic case files.
- Work alongside attorneys, paralegals, and other departments to meet deadlines efficiently.
- Effectively manage multiple tasks and deadlines while maintaining high-quality output in a fast-paced setting.
Qualifications:
- Over 10 years of experience in a role such as Litigation Legal Assistant, Legal Secretary, Paralegal, or similar legal support position within litigation.
- High school diploma or equivalent educational qualification.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Extensive experience in formatting complex legal documents.
- Strong command of grammar, with excellent proofreading and writing skills.
- Exceptional organizational, time management, and multitasking skills.
- Excellent interpersonal skills and a strong focus on customer service.
- Ability to work independently as well as collaboratively in a team setting.
- Experience with PDF editing tools (such as Kofax or similar software).
- Familiarity with document management systems (e.g., NetDocuments or similar platforms).
- Knowledge of legal time entry software (such as Aderant or comparable solutions).
- Experience with California litigation matters is a plus.
- Previous experience in a legal word processing or document specialist capacity is preferred.
