Job Summary
The role of the Legal Assistant is to provide vital legal and administrative support to attorneys across various practice areas such as Litigation, Labor & Employment, and Corporate Law. The position involves the management of legal documents, facilitation of attorney workflows, support for billing processes, and ensuring top-notch service for both clients and internal teams. The ideal candidate will be organized, detail-oriented, and adept at thriving in a dynamic law firm setting.
Responsibilities
- Draft, edit, and finalize various legal documents including correspondence, pleadings, contracts, and memoranda.
- Manage attorney calendars and coordinate meetings, depositions, travels, and conference calls.
- Input, review, and manage attorney time tracking entries.
- Support client billing by preparing pre-bills, revising invoices, and collaborating with the finance team.
- Handle expense reimbursements and monitor payment statuses.
- Assist with new client intake, including performing conflict checks and preparing engagement letters.
- Organize and maintain client files, both electronically and physically, through to the matter’s conclusion.
- Process incoming and outgoing mail and legal documents, ensuring effective communication.
- Answer calls and maintain professional interactions with clients, courts, and staff.
- Collaborate with various departments to assist in the support of attorneys and client needs.
- Utilize legal technology and document management systems to enhance workflow efficiency.
- Support electronic filing and keep updated on necessary court rules and procedures.
- Provide assistance to other legal assistants as necessary.
- Engage in training opportunities and contribute to process improvements.
- Carry out additional administrative and legal support tasks as assigned.
Qualifications
- High school diploma or equivalent is a must; preference is given to candidates with some college coursework.
- Prior experience in administrative roles or legal secretarial positions is essential.
- A Notary Public commission is considered advantageous.
- Proficiency in Microsoft Office Suite and legal document management systems is required.
- Comprehensive understanding of legal terminology and procedures is important.
- Excellent communication, proofreading, and editing skills with high attention to detail.
- Strong organizational and multitasking skills are necessary to meet deadlines.
- Able to work both independently and as part of a team while maintaining professionalism.
- Effective interpersonal skills for communication with attorneys, clients, and staff.
- Regular attendance and on-site work according to firm schedules are mandatory.
