The role of the Clinic Operations Representative is essential in facilitating the day-to-day activities of an outpatient clinic. This position is dedicated to delivering outstanding service to patients, families, and healthcare professionals. Responsibilities include patient registration, scheduling appointments, verifying insurance, handling check-in/check-out processes, collecting payments, and offering general administrative support in a dynamic healthcare setting.

Responsibilities of the Clinic Operations Representative

  • Accurately register patients and maintain their demographic and insurance details during check-in.
  • Manage the scheduling and rescheduling of patient appointments and follow-ups effectively.
  • Confirm insurance eligibility, referrals, and pre-authorizations as necessary.
  • Collect co-payments, deposits, and any outstanding balances, issuing receipts accordingly.
  • Review patient accounts and scheduling to ensure accurate billing and authorization processes.
  • Handle a high volume of incoming phone calls, messages, emails, and patient inquiries.
  • Gather necessary documentation, including insurance cards, IDs, and consent forms.
  • Ensure accurate maintenance of electronic and paper records while upholding patient confidentiality and adhering to HIPAA standards.
  • Work collaboratively with clinical, financial, and administrative teams to enhance clinic operations.
  • Deliver professional and polite service to patients, their guardians, providers, and colleagues.
  • Provide support at other clinics or Regional Outpatient Centers when required.

Requirements for the Clinic Operations Representative

  • A High School Diploma or GED is a must.
  • At least 1 year of experience in patient registration, scheduling appointments, insurance verification, billing, or front-end healthcare support.
  • Experience in an outpatient clinic, physician office, or healthcare setting is preferred.
  • Familiarity with EMR and/or scheduling software is advantageous.
  • Proficiency in Microsoft Office is preferred.
  • A minimum typing speed of 35 WPM.
  • Excellent customer service skills, strong communication, organizational abilities, and meticulous attention to detail.
  • Capability to thrive in a busy, patient-centric environment.
  • Completion of required training and competency assessments for Ambulatory Services is essential.
