Radiology Scheduler- Contract
Location: Gaithersburg, MD (Hybrid)
Shift: Mon-Thurs 8a-4:45p / Fri 8a-4p
Pay Range: $19.64 – $25.65/hr
Duration: 13 weeks, with opportunity to convert to a permanent position The Radiology Scheduler is responsible for coordinating and scheduling patient procedures within Diagnostic Imaging, Interventional Radiology (IR), and Cardiac Catheterization Lab services. This role ensures accurate appointment scheduling, proper patient preparation, insurance verification, and seamless communication between physicians, nursing staff, technologists, and patients to optimize workflow and patient care. Radiology Scheduler Key Responsibilities: Scheduling & Coordination
- Schedule outpatient and inpatient diagnostic imaging procedures (e.g., X-ray, CT, MRI, Ultrasound).
- Schedule Interventional Radiology procedures (e.g., biopsies, drain placements, angiograms).
- Schedule Cardiac Catheterization Lab procedures (e.g., cardiac caths, EP studies).
- Coordinate add-on, urgent, and STAT cases.
- Manage procedure blocks and physician schedules.
- Confirm appointments and provide detailed preparation instructions to patients.
- Ensure required documentation, orders, and pre-authorizations are received prior to scheduling.
Patient Communication
- Serve as primary contact for patients regarding procedure scheduling.
- Provide clear instructions regarding prep (NPO status, medication adjustments, lab work requirements).
- Address patient questions or route clinical concerns to appropriate staff.
- Reschedule appointments as needed while maintaining department efficiency.
Insurance & Authorization
- Verify insurance coverage and obtain prior authorizations.
- Ensure medical necessity documentation is complete.
- Work with billing and financial counseling teams to resolve authorization issues.
Documentation & Compliance
- Maintain accurate patient scheduling records in EMR systems (e.g., Epic, Cerner, Meditech).
- Confirm required labs, consents, and history/physical documentation are completed prior to procedure.
- Adhere to HIPAA regulations and departmental policies.
- Track cancellations, no-shows, and scheduling metrics.
Interdepartmental Collaboration
- Communicate with physicians, nurses, technologists, anesthesia, and support staff.
- Coordinate inpatient transport and bed placement when necessary.
- Assist with daily schedule optimization to reduce downtime and improve patient flow.
Radiology Scheduler Requirements:
- High School Diploma (minimum education)
- 2–5 years of relevant experience
- Equipment provided: computer, dual monitors, keyboard, mouse, headset, and camera
- Hybrid (on-site for training; may work hybrid schedule afterwards)
- Must have dedicated HIPAA-compliant workspace
- On camera for weekly huddles and team meetings
