Role Overview
The Administrative Assistant acts as a key liaison for patients and their families, handling a substantial volume of phone inquiries, EPIC communications, MyChart messages, prescription refills, referrals, and additional patient-related questions. The preferred candidate will exhibit exceptional organizational skills, attention to detail, professionalism, and an ability to juggle various tasks while delivering outstanding service to patients.

Key Responsibilities

  • Handle incoming communications including calls, messages, and patient inquiries.
  • Act as the main contact for patients, families, providers, and referrals.
  • Maintain medical records and input documentation into EPIC.
  • Record and relay patient needs to the appropriate clinical team members.
  • Coordinate orders, lab work, referrals, and subsequent follow-ups.
  • Organize physician schedules and address any scheduling conflicts.
  • Gather and manage insurance data liaising with the financial department.
  • Assist patients with online appointment check-ins and scheduling queries.
  • Oversee communications for providers, including meetings, travel arrangements, reimbursements, and licensing matters.
  • Facilitate department operations, which encompass events, mail handling, meeting documentation, and basic IT support.

Qualifications

  • A High School Diploma or GED is mandatory.
  • Minimum of 3 years of experience as an administrative assistant is required.
  • An Associate’s or Bachelor’s degree may compensate for 2 years of experience.
  • Experience in a healthcare or clinical setting is preferred.
  • Familiarity with Electronic Medical Records (EMR) is essential.
  • Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Excellent communication, organizational, customer service, and detail-oriented skills are necessary.
  • Strong typing and data entry abilities.
  • Completion of EPIC training is required within the first year, along with potential skills assessments.
  • Must be able to work at a computer for long durations, travel within the hospital system, communicate effectively, and lift up to 20 lbs. as necessary.
