Knowledge Management Analyst

Job Summary

The Knowledge Management Analyst is essential for enhancing the organization’s ability to capture, manage, organize, and disseminate critical business information. This role focuses on the everyday management and ongoing refinement of knowledge management systems, document repositories, and collaboration tools, ensuring that content remains accurate, easily accessible, searchable, and in alignment with company standards. By collaborating with various stakeholders and experts, the analyst aims to boost content quality, enhance the user experience, promote knowledge-sharing practices, and facilitate efficient access to reliable information throughout the organization.

Responsibilities

  • Oversee and maintain knowledge repositories, document libraries, and collaboration tools to keep information updated and user-friendly.
  • Assist in document management tasks, ensuring proper version control, metadata handling, archiving, and document workflows.
  • Implement and uphold metadata standards, taxonomies, and governance practices to enhance information consistency and search capabilities.
  • Conduct reviews, audits, and content lifecycle management to ensure information accuracy and compliance.
  • Create and revise standard operating procedures (SOPs), training resources, and user documentation to support organizational needs.
  • Evaluate knowledge management procedures and user feedback to pinpoint areas for increased efficiency and user engagement.
  • Participate in knowledge migration and optimize systems for content management.
  • Support users by providing guidance on tools, standards, and best practices in knowledge management.
  • Develop reports and metrics to measure content usage, search efficiency, and compliance with governance standards.
  • Collaborate with experts to gather and systematize institutional knowledge for distribution.
  • Contribute to process improvement initiatives that refine information management practices.
  • Assist in training, onboarding, and communication efforts related to knowledge management systems.

Qualifications

  • Bachelor’s degree in Information Management, Library and Information Science, Business Administration, or a related discipline.
  • Experience in enterprise knowledge management, document control, or similar initiatives.
  • Proficiency in reporting and analytics tools, such as Power BI.
  • Familiarity with process improvement methodologies and workflow automation.
  • Experience in regulated or compliance-focused environments.
  • Strong problem-solving skills and the ability to manage detailed information accurately.
  • Knowledge of content governance and information lifecycle principles.
  • Experience with collaboration tools like SharePoint and Microsoft Teams.
  • Understanding of metadata and content quality standards.
  • Ability to develop effective documentation and training materials.
  • Proficiency in Microsoft Office applications, particularly Excel and PowerPoint.
  • Excellent written and verbal communication skills, with the capacity to simplify complex information.
  • Detail-oriented with the ability to manage multiple priorities and stakeholder demands.
  • Strong collaborative skills to work effectively with diverse teams and users.
