Payroll Coordinator

As a **Payroll Coordinator**, you will be tasked with ensuring the accurate and punctual processing of payroll along with related records.

Responsibilities of the Payroll Coordinator:

  • Ensures payroll accuracy for both weekly and bi-weekly employees, adhering to all deadlines through the utilization of the Dayforce Workforce payroll and timekeeping system.
  • Conducts thorough reviews of timekeeping records to guarantee compliance and accuracy.
  • Performs audits and maintains employee system information, which includes timekeeper profiles.
  • Handles historical payroll adjustments as necessary.
  • Processes employee deductions and payments for support and garnishments.
  • Reviews and approves self-service submissions for direct deposit and changes in tax withholding.
  • Submits the direct deposit file to the bank on time.
  • Manages the processing and timely payment for federal, multi-state, and local payroll tax reporting, coordinating with third-party payroll tax agencies to update rates and address any concerns.
  • Audits various payroll source documents, pinpointing and resolving discrepancies.
  • Keeps accurate records of vacation accruals and addresses any discrepancies as needed.
  • Coordinates all bonus runs in line with the predetermined schedules.
  • Prepares and reconciles paperwork for year-end processes, including W-2 preparation.
  • Facilitates training for both employees and managers on the Dayforce timekeeping system.
  • Handles payroll month-end closing processes and ensures direct integration with the general ledger.
  • Maintains and adjusts settings within the Dayforce Payroll and Timekeeper applications.
  • Serves as a point of contact for resolving payroll-related issues.
  • Keeps accurate records and maintains proper documentation as required.
  • Develops and maintains payroll checklists and standard operating procedure documentation.
  • Interprets and ensures adherence to organizational policies.
  • Provides technical support as necessary.
  • Evaluates systems, policies, and procedures for efficacy, offering recommendations for improvements and implementing approved changes.
  • Ensures a high level of confidentiality is upheld.
  • Completes necessary training regarding the HIPAA Privacy Rule to understand and maintain the confidentiality of protected health information relevant to job duties.
  • Adhere to HIPAA Privacy Rule requirements and organizational health information policies under the guidance of the plan privacy contact; violations may result in disciplinary actions, including possible termination.

Qualifications for the Payroll Coordinator:

  • High school diploma is required, along with at least five (5) years of payroll processing experience and one (1) year of experience utilizing Dayforce Payroll and Timekeeping.
  • Preferred qualifications include a CPP certification or a Bachelor’s degree in Accounting, Business, or a related field.
  • Fundamental knowledge of accounting principles and general ledger practices is necessary.
  • Proficiency in Microsoft Office Suite is required.
