Litigation Legal Assistant

Position Overview
We are on the lookout for a Litigation Legal Assistant to join our team. This position is designed to offer thorough administrative and secretarial support to multiple attorneys and paralegals engaged in our litigation practice. The ideal candidate will exhibit a proactive approach, outstanding organizational abilities, and a strong dedication to providing exceptional service to our clients. Regular on-site presence and collaboration with colleagues, attorneys, and firm leadership are essential for this role.
Essential Job Functions and Responsibilities
- Prepare fundamental legal documents, such as notices of appearance, pro hac vice admissions, summons, complaints, and motions.
- Coordinate services of court reporters and videographers as required.
- Assist in the preparation and organization of pleading binders, exhibit binders, and trial notebooks.
- Draft and refine correspondence, memoranda, and legal documents for review by attorneys and paralegals.
- Manage the flow of incoming and outgoing mail, ensuring timely delivery and correct routing.
- Keep attorney calendars, contact lists, and deadline reminders up to date.
- Open new cases through Business Intake, perform conflict checks, and maintain as well as close case files after completion.
- Welcome clients and visitors, maintaining a professional demeanor and courteous communication.
- Organize appointments and arrange travel for assigned attorneys and paralegals.
- Input attorneys’ time entries into the timekeeping software.
- Work with the Billing Department and attorneys to review and finalize client bills.
- Collaborate closely with internal departments including Word Processing, Business Intake, Accounting, and Office Services.
- Perform other administrative responsibilities as assigned.
Additional Responsibilities
- Stay up-to-date with litigation software, terminology, and document management systems.
- Conduct online research related to cases and client issues.
- Manage docketing and calendaring functions in line with California court requirements.
- Demonstrate familiarity with court systems, filing procedures, and litigation protocols.
Required Qualifications
- High school diploma or equivalent.
- Up to 15 years of experience in administrative tasks or legal secretarial roles; litigation experience is preferred.
Preferred Qualifications
- Some college coursework.
- Certification as an active Notary Public.
Knowledge, Skills, and Abilities
- Strong proofreading, grammar, spelling, and punctuation skills.
- Experience in trial preparation and filing trial-related pleadings (e.g., Motions in Limine, Exhibit Lists, Witness Lists).
- Familiarity with state and federal e-filing systems (Janney & Janney, OneLegal, File & ServXpress).
- Capability to create Table of Contents/Table of Authorities using Microsoft Word or Litera.
- Meticulous attention to detail, with the ability to verify calculations and review documents for accuracy.
- Ability to work independently while following law office policies and procedures.
- Outstanding organizational and time management skills; capable of managing multiple priorities within tight deadlines.
- Exceptional interpersonal skills for effective communication with clients, attorneys, and staff.
- Proficient in Microsoft Windows 7 and Office 2010 Suite; typing speed of 75 wpm or higher.
- Willingness to adjust work hours as necessary.
