The Legal Assistant is accountable for various legal and administrative tasks while working under the direct supervision of the Director of Human Resources or, in locations outside of Cleveland, the Office Administrator. This role involves adhering to established policies and procedures as you support attorneys and paralegals in multiple areas of law. Building and maintaining positive relationships with clients, attorneys, and team members is essential, along with ensuring confidentiality regarding client matters. This position is classified as non-exempt and is eligible for overtime compensation.

Key Responsibilities of the Legal Assistant

  • Deliver confidential administrative and secretarial assistance to legal personnel across different practice areas such as Real Estate, Litigation, Intellectual Property, Labor & Employment, Estate Planning, Corporate, and Creditors’ Rights.
  • Support attorneys in handling both residential and commercial real estate transactions.
  • Prepare, review, and organize documentation for closings.
  • Communicate and coordinate with lenders, title companies, real estate agents, and clients.
  • Keep track of deadlines, manage calendars, and oversee transaction checklists.
  • Conduct title searches and assess title commitments.
  • Draft correspondence, memos, and standard legal documents.
  • Ensure digital and physical filing systems are accurate and well-maintained.
  • Assist attorneys with necessary administrative duties as required.

Requirements for the Legal Assistant

  • Proficient in the use of office software and equipment, including Outlook, Word, iManage, Teams, 3E, Excel, PowerPoint, Emburse, OneDrive, telephones, and photocopiers.
  • Familiarity with document preparation software like Altastar, Qualia, and Closer’s Choice.
  • Solid understanding of legal terminology and procedures.
  • Exceptional proofreading, grammar, and spelling abilities.
  • 5–8 years of experience working in a mid- to large-sized law firm (experience requirements may differ based on position).
  • Competence in transcribing legal documents and correspondence at a speed of at least 80 words per minute.
  • Strong organizational skills with an ability to prioritize and manage multiple tasks within tight deadlines.
  • Excellent interpersonal communication skills to engage with attorneys, staff, and clients in a professional manner.
  • Aptitude for maintaining concentration and precision while handling a high volume of detailed clerical work.
  • Willingness to work more than 37.5 hours weekly, including irregular hours as needed.
  • Ability to operate effectively in a typical office environment with minimal exposure to noise, dust, or extreme temperatures.
