Overview
As the Front Desk Receptionist, you will be the initial touchpoint for employees, visitors, and guests, ensuring a warm and professional atmosphere while aiding in the smooth functioning of office operations. Your responsibilities will include managing the front desk, overseeing phone and visitor traffic, scheduling conference rooms, providing hospitality services, distributing mail, and delivering general administrative assistance. The suitable applicant will be customer-oriented, detail-oriented, and adept at juggling multiple tasks in a dynamic setting.
Primary Duties
- Welcome and assist employees, visitors, and guests in a courteous and professional manner.
- Handle incoming calls by answering, screening, and directing them; take messages and arrange appointments when required.
- Manage visitor check-in processes, issue badges, and ensure compliance with security protocols.
- Keep the reception area tidy, organized, and welcoming.
- Coordinate the scheduling of conference rooms and manage requests for building services.
- Receive, sort, and distribute incoming mail, packages, and courier items.
- Assist with office hospitality by maintaining coffee, tea, kitchen supplies, janitorial stock, and restroom items.
- Prepare name badges and provide logistical support for meetings and internal events.
- Compile attendance reports for the Human Resources department.
- Act as a Floor Marshal/first responder in case of office emergencies and adhere to all safety protocols.
- Participate in team meetings and provide support to the Hospitality Ministries & Event Services team.
- Occasionally adjust work hours to accommodate special events.
- Carry out other related administrative and hospitality tasks as assigned.
Qualifications
- High school diploma or equivalent is mandatory.
- 2 to 3 years of experience in front desk operations, receptionist roles, administration, or customer service.
- Outstanding verbal and written communication abilities.
- Excellent customer service skills, along with strong organizational and multitasking capabilities.
- Professional attitude with the capacity to interact well with staff and visitors alike.
- Ability to manage confidential information with utmost discretion.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams) and a readiness to learn new office technologies.
- Experience with schedule coordination, office supply management, or facility support is advantageous.
• Must be able to sit for extended periods at a desk.
• Occasional lifting of up to 15 pounds may be required.
