Job Summary
The Legal Billing Coordinator is responsible for direct communication with partners, associates, legal assistants, and finance personnel regarding various aspects of client billing. This role entails the preparation and management of client bills while handling a significant volume of billing activities for a designated group of attorneys.
Responsibilities
- Prepare monthly and ad-hoc prebills for attorneys, ensuring precision and promptness.
- Create and modify draft bills in response to attorneys’ feedback.
- Review prebills and draft bills to confirm compliance with client counsel guidelines.
- Maintain an understanding of firm, client, matter, and exception rates, including discounts.
- Ensure accurate reflection of rates and fee arrangements on all matters.
- Request timekeeper and rate approvals when required.
- Apply retainer funds as directed by attorneys.
- Process write-downs in alignment with firm policies.
- Complete billing tasks and respond to inquiries within firm guidelines and timelines.
- Handle e-billing processes, including submission and resolution of issues.
- Investigate and resolve billing rejections and reductions as they occur.
- Communicate billing status and inquiries with attorneys.
- Research and answer billing-related questions effectively.
- Identify opportunities for improvement in billing processes and efficiency.
- Keep detailed billing notes regarding procedures, deadlines, and client preferences.
- Assist with accrual and budget inquiries from clients and attorneys.
- Escalate complex issues to the Legal Billing Supervisor when necessary.
- Maintain a high standard of client service as a resource for clients, attorneys, and staff.
- Support departmental projects and process improvements as required.
- Prepare ad-hoc billing reports upon request for internal and external clients.
Qualifications
- High School diploma or equivalent required; Bachelor’s degree or relevant experience preferred.
- 2–5 years of relevant experience in legal billing, accounts receivable, or a similar role, ideally in a mid- to large-size law firm.
- Proficient in Microsoft Office Suite, especially Excel, Word, and Outlook 365.
- Experience with Aderant Financial Systems, Classic, Elite, BillBlast, and/or eBilling Hub is a plus.
- Knowledge of eBilling processes across multiple platforms.
- Strong problem-solving skills to effectively handle billing issues.
- Excellent organizational, analytical, and time management abilities.
- Exceptional attention to detail and accuracy.
- Strong communication skills, both written and verbal.
- Ability to concurrently manage multiple priorities and meet deadlines in a busy billing environment.
- Willingness to occasionally work outside of standard business hours as needed.
