Job Summary

The Provider Coordinator plays an essential administrative role for healthcare providers, focusing on various operational tasks. This position involves managing telephone support, preparation of patient charts, oversight of records, coordination of interpreter services, as well as responsibilities linked to reporting, compliance, reimbursement, credentialing, and charge capture.

Responsibilities

  • Schedule and arrange patient appointments, diagnostic tests, surgeries, and hospital admissions across multiple providers.
  • Maintain and update provider schedules and calendars, documenting all activities in the Epic system.
  • Confirm insurance coverage and secure prior authorizations as required.
  • Support scheduling workflows and assist in administrative coordination tasks.
  • Oversee referral, insurance, and scheduling queues to ensure timely follow-up and resolutions.
  • Provide thorough telephone coverage and accurately route messages.
  • Help with departmental administrative tasks, records management, and fulfill reporting requirements.
  • Prepare comprehensive patient charts by examining records, obtaining external documentation, and ensuring correct indexing in the EMR.
  • Coordinate necessary interpreter services.
  • Maintain and organize departmental records, manuals, and patient education materials.
  • Engage in data reporting and ensure compliance with regulatory standards.
  • Assist with physician reimbursement, credentialing efforts, and charge capture processes as assigned.
  • Carry out additional administrative and operational tasks as needed.

Qualifications

  • 2 to 5 years of relevant experience in a medical setting, focusing on healthcare scheduling, patient access, or administrative support.
  • Experience with insurance verification and prior authorization procedures.
  • Proficient in managing referral, insurance, or scheduling workflows.
  • Skilled in obtaining, reviewing, and handling medical records.
  • Able to support multiple providers and adept in navigating complex scheduling tasks.
  • High School Diploma or GED is required.
  • Experience in oncology or specialty clinic settings is preferred.
  • Proficiency in the Epic system is a must.
  • Experience with EMR/EHR systems is necessary.
  • Competency in Microsoft Office Suite is required.
