Administrative Assistant
Mason, OH – Onsite
$25-30/HR
Work Schedule: Part-Time (20 hours per week) The Administrative Assistant will provide comprehensive support to senior leadership. The successful candidate will manage calendars, coordinate meetings, oversee communications, organize travel logistics, and assist with procurement processes. This role requires exceptional organization, strong communication skills, and the ability to work independently in a fast-paced environment. Administrative Assistant Responsibilities:

  • Manage and coordinate calendars for senior leaders, schedule meetings, and resolve scheduling conflicts.
  • Monitor and organize emails, draft responses, and ensure timely follow-up on key communications.
  • Plan and facilitate both virtual and in-person meetings, ensuring all logistics and technology needs are met.
  • Arrange domestic and international travel, including flights, lodging, and ground transportation, in compliance with company policy.
  • Create and manage purchase orders, track budgets, and maintain accurate records of purchases and expenditures.
  • Administrative Operations:
    • Answer and direct calls; maintain contact lists.
    • Prepare correspondence, reports, and presentations.
    • Maintain and organize digital and physical filing systems.
    • Order and track office supplies.
    • Process invoices and reconcile expense reports.
    • Support visitors and provide general administrative assistance as needed.

    Administrative Assistant Requirements:

    • High school diploma or equivalent required; Associate or Bachelor’s degree preferred.
    • 5–7 years of administrative experience, ideally supporting senior leadership.
    • Proven experience in calendar management, meeting logistics, and travel coordination.
    • Proficiency in Microsoft Outlook and Microsoft Teams.
    • Experience with procurement platforms such as Coupa (preferred).
    • Learning Agility: Quickly adapts to new systems and processes.
    • Sense of Ownership: Takes initiative and ensures accountability for tasks.
    • Autonomy: Works independently and prioritizes effectively under limited supervision.
