Behavioral Health Intake Coordinator

13-Week Contract
8:00 AM – 4:30 PM, 40 Hrs/Week

The Behavioral Health Intake Coordinator plays a vital role in a bustling pediatric outpatient behavioral health clinic, focusing on patient intake, registration, scheduling, insurance verification, and prior authorization tasks. This onsite position involves collaborating closely with patients, families, healthcare providers, and insurance representatives to facilitate care across various specialty clinics, all while ensuring a compassionate and professional customer service experience.

Responsibilities of the Behavioral Health Intake Coordinator:

  • Conduct comprehensive telephone intake assessments for new patients, gathering clinical, demographic, insurance, and financial details.
  • Manage patient registration, distribute necessary intake forms, and arrange appointments in the appropriate specialty clinics based on patient needs.
  • Confirm insurance eligibility, examine benefits and copays, secure prior authorizations, and coordinate essential documentation with physicians, families, and insurance companies.
  • Prioritize referrals aligned with departmental protocols, oversee patient waitlists, and facilitate referrals to specialty clinics or community support resources.
  • Ensure precise documentation in the EMR while delivering supportive and professional assistance to pediatric patients and families in a high-pressure outpatient environment.

Qualifications for the Behavioral Health Intake Coordinator:

  • A high school diploma or equivalent is essential.
  • A minimum of 4 years of relevant experience in healthcare administration, patient access, medical office settings, or patient registration is required.
  • Recent patient intake experience in mental health, behavioral health, psychology, psychiatry, or neuropsychology environments is necessary.
  • Proven expertise in high-volume phone intakes, scheduling appointments, verifying insurance, obtaining prior authorizations, and maintaining EMR documentation is required.
  • Must be proficient in Microsoft Office applications, including Outlook, Word, and Excel.
  • Candidates should demonstrate exceptional communication, customer service, organizational, multitasking, and attention-to-detail skills, with the capacity to manage sensitive patient information with professionalism and confidentiality.
