We are excited to present a fantastic opportunity for a Human Resources Coordinator! This position will report directly to the Deputy Human Resources Officer and will oversee the employment process to place qualified candidates in various roles.

Key Responsibilities:

  • Support the recruitment, selection, and hiring processes for both hourly and salaried positions by handling employment documentation, preserving employment records, and ensuring adherence to the posting procedures as outlined in the organization’s collective bargaining agreements.
  • Administer the organization’s Applicant Tracking System (ATS) while providing technical assistance to hiring managers and staff.
  • Help hiring managers with job advertisements in the ATS, manage external advertising, and ensure compliance with union contract stipulations.
  • Provide training and guidance to hiring managers and staff on the submission of job requisitions and the utilization of the ATS’s online hiring functions.
  • Oversee the comprehensive recruitment workflow within the ATS.
  • Implement targeted recruitment efforts, including sourcing strategies and employee referral initiatives, to enhance representation of protected classes based on recruitment analytics.
  • Act as the Human Resources representative in building relationships with external organizations such as civic, social, professional, and community groups to source qualified candidates for employment opportunities.
  • Serve as the go-to contact for new employees, guiding them through the completion of necessary employment documents and onboarding activities within the ATS, including managing visa-related documentation with external immigration counsel.
  • Facilitate communication between incoming international hires, hiring managers, and the organization’s immigration attorney to ensure proper visa status, completion of necessary documentation, and monitoring of visa expiration dates.
  • Prepare appointment letters and Terms and Conditions of Employment offers.
  • Assist Human Resources to uphold compliance with Equal Employment Opportunity (EEO) regulations while providing insights related to the Americans with Disabilities Act (ADA) and its accessibility requirements during the hiring process.
  • Clarify employment policies, procedures, relevant employment laws, and collective bargaining agreements to departments, applicants, and employees.
  • Coordinate employment assessments for unionized roles, including scheduling, administration, scoring, and candidate selection.
  • Handle background checks and reference checks for all new hires and relay findings to hiring departments.
  • Recruit, hire, and oversee a temporary administrative employee pool through direct recruitment and staffing agencies, evaluating applications, conducting interviews, and administering necessary assessments to recommend candidates to departments.
  • Collaborate with the Manager of Employee and Labor Relations on recruitment for collective bargaining unit vacancies, including participation in labor-management meetings, documenting minutes, updating on hiring, communicating with union leadership about job postings, and monitoring union group vacancies.
  • Facilitate the reclassification process for collective bargaining unit roles by conducting employee interviews and handling necessary documentation.
  • Process monthly seniority increments for employees under collective bargaining agreements.
  • Communicate effectively with applicants and employees to ensure a smooth flow of information and address queries related to employment, employee relations, compensation, benefits, and other HR matters.
  • Organize the annual employee service awards program along with other recognition initiatives.
  • Assist in managing the organization’s performance management system.
  • Carry out additional related duties as necessary.

Minimum Qualifications:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field; an additional year of relevant experience may substitute for each year of education required.
  • One to two years of experience in human resources, or a combination of education and experience that is equivalent.
  • Preferred: Professional in Human Resources (PHR) certification.
