Litigation Legal Assistant

Job Summary

The Litigation Legal Assistant plays a crucial role in providing administrative and legal support to attorneys and staff. This position serves as the primary point of contact for clients and visitors. The right candidate will exhibit strong organizational skills, a client-oriented mindset, and the ability to handle various tasks with professionalism and confidentiality.

Responsibilities

  • Offer confidential administrative assistance to legal professionals and staff.
  • Draft, edit, proofread, and format various legal documents including pleadings, motions, and contracts.
  • Conduct electronic filing and service in California State, Federal, and Appellate Courts as needed.
  • Stay informed about court rules, filing procedures, and e-filing requirements.
  • Support attorneys throughout all litigation phases such as discovery, motion practice, and trial preparation.
  • Prepare and organize essential materials for trials, depositions, and hearings.
  • Coordinate logistics for depositions and liaise with court reporters, videographers, and expert witnesses.
  • Work in conjunction with the docketing department to track litigation deadlines and court dates accurately.
  • Ensure that court notices and filings are accurately reflected in the calendar.
  • Manage calendars, travel bookings, and expense reporting for attorneys using 3E.
  • Maintain both electronic and physical client files, assisting with opening and closing procedures.
  • Create Tables of Contents and provide additional secretarial support as required.

Qualifications

  • Minimum of 5 years of experience in commercial or business litigation supporting multiple attorneys.
  • In-depth understanding of California State and Federal Court rules, filing procedures, and deadlines.
  • Proficient in coordinating depositions, hearings, mediations, and trial prep activities.
  • Familiarity with e-discovery processes and the litigation lifecycle.
  • Advanced skills in Microsoft Office Suite, PDF software, document management systems, and 3E firm software.
  • Outstanding attention to detail, proofreading, grammar, and document formatting capabilities.
  • Ability to prioritize tasks and meet deadlines in a dynamic environment.
  • Excellent client service, communication, interpersonal, and organization skills.
  • Capacity to maintain confidentiality and demonstrate sound judgment.
  • Typing speed of 60+ words per minute.
